Facility Description:  Dallas Regional Office (Irving)

Accountabilities / Responsibilities

Provide executive administrative support to the Group President and serve as the office manager.  Professional, friendly, and welcoming appearance and demeanor are essential.  In addition to greeting guests, day-to-day responsibilities will include travel coordination, expense reports, and assisting with completing administrative support and office management related requests/tasks.  The ability to work well under pressure and with grace in a fast-paced environment is absolutely necessary.  This position reports to the Group President. 
 
Key Responsibilities

 

  • Greet teammates and guests
  • Assist with scheduling internal meetings and group events
  • Serve as extension of GP’s office and brand, handling interaction with all internal and external contacts in a manner that positively reflects on the organization and the GP’s office.
  • Work closely with other Executive Assistants to execute all logistics for domestic and international travel, including arranging for flights, hotels, car services, including committing SCA to the necessary costs and fees
  • Accurate completion of monthly expense reports and check requests for GP and Executive Assistant 
  • Research and planning for meetings, dinners and other events both on-site and off-site
  • Undertake and execute special projects of varying complexity
  • Sort, open and process mail and manage general office duties (supplies, vendors etc.)
  • Assist with errands outside of the office as needed
  • Assist with creating and maintaining comprehensive spreadsheets where attention to detail is essential
  • Work collaboratively and professionally with other Administrative and Executive Assistants, including taking on shared office responsibilities
  • Be mindful of Group President's calendar to start video and conference calls ahead of meetings
  • General project coordination and other duties as assigned

 

Qualifications

  • Bachelor’s Degree preferred
  • 5+ years of administrative assistant experience
  • Experience working with senior management preferred; track record of high performance in a high intensity, demanding environment, such as consulting, law firm or financial services
  • Experience working successfully as part of a team
  • Must own a car and plan to drive to work daily (any mileage for miscellaneous errands during work hours will be reimbursed)
