    POSITION OBJECTIVE:  The Facility Scheduler is responsible for a variety of tasks which include customer service, insurance verification and pre-certification, and other tasks that pertain to office management.

    Accountabilities / Responsibilities



    KEY ACCOUNTABILITIES:

    • Check voicemail and return phone calls within three hours.
    • Confirm patient appointments for studies and clinic appointments the next day.
    • Mail patients study and clinic reminder letters weekly.
    • Work cooperatively to cover the labs assigned to you on the day the medical secretary of that lab is off.
    • Create an EMR for each new patient.  Ensure each patient only has one EMR.
    • Patient scheduling for multiple sites.
    • Schedule directly-referred patients.  Notify referring physician’s office of the scheduled date.
    • Mail every patient an information packet.
    • Reschedule patients who have cancelled their sleep study or clinic appointment.  If a patient cancels the day of their study, it is a high-priority to find another patient.
    • Work cooperatively with other offices who schedule patients for OhioHealth Sleep Services and any other associated company.
    • Maintain accurate records of when patients are scheduled in the EMR schedule as well as in Progress Notes.
    • Ensure that all patients are called three times in a 2-week period to try to schedule the patient for a sleep study or clinic appointment.  After the third attempt, a letter will be mailed and the referring physician notified.
    • Obtain signed orders for patients returning for a PAP titration, if the safe harbor or original order is not significant.
    • Answer questions from patients about insurance coverage.
    • Verify and pre-certify insurance for every patient before every sleep study takes place.  Diligently document all verifications and pre-certifications.
    • Answer all phone calls in a courteous manner.  Answer patient questions and/or take messages for other staff.  Provide excellent customer service.
    • Communicate with all facilities weekly to inform them of the upcoming patient schedule.
    • Work closely with the tech to answer questions and to obtain missing information notated from chart review.
    • Ensure patient charts for the upcoming two weeks have all necessary paperwork in the EMR.
    • Create reminders daily for that day’s patients about scheduling studies and clinic appointments.
    • Aid in maintaining a clean and professional office space, including common areas.
    • Properly request from physicians’ offices the materials needed to complete charts:  histories, orders, demographics, insurance information, study interpretations, safe harbors, etc.
    • Diligently document all interactions with patients in Progress Notes.
    • Maintain the highest level of patient confidentiality at all times in accordance with HIPAA.
    • Assist in physician clinics when requested by lab management.
    • Perform general typing.
    • Any other tasks needed as directed by management.

    Skills Required

     

    Education:

    • High School Diploma or equivalent

    Experience:

    • One year scheduling in medical facility required.
    • At least one year customer service experience required.
    • Experience with insurance pre-certifications and verifications.
    • Basic knowledge of HIPAA and medical terminology.
    • Experience with Electronic Medical Records.
